This policy explains how Golf Exchange (“we”, “us”) handles personal information when you use golf-exchange.co.uk, request a trade-in quote, or message us by email or WhatsApp. We are responsible for your information under UK data protection law (the UK GDPR and the Data Protection Act 2018). What we collect

  • Account details: your email address and password when you create an account. Passwords are handled by our login provider; we never see them.
  • Contact details: your preferred reply method and, if you choose WhatsApp, your phone number.
  • Return address: your name and postal address, so we can send a prepaid Parcelforce label and return clubs if needed.
  • Club details: the brand, model, specification, condition answers, notes and photos you give us about your clubs.
  • Messages: anything you send us about your quote through the website, by email or on WhatsApp.
  • Payment details: the bank or PayPal details you give us so we can pay you for clubs we buy.
  • Website usage: anonymous page-view statistics, which do not identify you.

How we use it

  • To give you a quote, arrange postage, inspect your clubs and pay you.
  • To reply to your messages and keep you updated by your chosen method.
  • To keep your account and quotes secure and prevent fraud.
  • To keep the records we need for accounting and legal purposes.

We use your information because we need it to provide the trade-in you asked for, because we have a legitimate interest in running and securing our service, or because the law requires us to keep certain records. We do not sell your information, and we do not send you marketing messages.

Who we share it with

We only share what each service needs to do its job for us:

  • Supabase stores your account, quotes, messages and photos, on servers in London.
  • Vercel hosts the website and provides our anonymous visitor statistics.
  • Resend sends and receives our emails.
  • Meta (WhatsApp) delivers WhatsApp messages, only if you choose WhatsApp or message us there.
  • Parcelforce receives your name and address to create and deliver your postage label.
  • PayPal or our bank processes the payment to you.

Some of these providers may process information outside the UK. Where they do, the transfer is covered by safeguards recognised under UK law, such as adequacy regulations or the UK International Data Transfer Agreement.

How long we keep it

We keep quote records, messages and photos for as long as we need them to complete your trade-in and deal with any follow-up, and for as long as the law requires us to keep business and accounting records. You can ask us to delete your account and information at any time, unless we have to keep some of it by law.

Cookies

We use essential cookies to keep you signed in. Our visitor statistics do not use cookies, and the WhatsApp chat button is part of our own site, so it doesn’t set any either.

Your rights

You can ask to see the information we hold about you, have it corrected or deleted, object to or restrict how we use it, or receive a copy to take elsewhere. Email support@golf-exchange.co.uk and we will respond within one month. If you are unhappy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk.

Changes to this policy
